ACCOMMODATION RULES & REGULATIONS (Terms and Conditions)

The accommodation of guests at the ***Hotel Šumava (hereinafter referred to as the “Hotel” or “Accommodation Provider”) is provided in accordance with the applicable legal regulations of the Czech Republic.

1. General Provisions & Contractual Terms

• The rights and obligations of both contracting parties not explicitly covered by the Accommodation Agreement shall be governed by these Accommodation Rules and the Hotel’s current price list. Any specific agreements within an individual Accommodation Agreement shall take precedence over these Accommodation Rules and the price list.
• Guests have the right to terminate the Accommodation Agreement before the expiry of the agreed stay. In the event of early termination or reservation cancellation, the Hotel is entitled to charge cancellation fees corresponding to the actual damage incurred by the Accommodation Provider. Cancellation conditions apply to accommodation services as well as to all other ordered services.
• Direct Booking Cancellation Policy:
  • More than 3 months prior to arrival: Free cancellation (no fee).
  • 3 months to 31 days prior to arrival: 40% of the total price of ordered services.
  • 30 to 8 days prior to arrival: 70% of the total price of ordered services.
  • 7 to 3 days prior to arrival: 90% of the total price of ordered services.
  • 2 days prior, day of arrival, or No-Show: 100% of the total price of ordered services.
• The Hotel undertakes to provide services of a quality corresponding to its official category.
• GDPR & Data Protection: The processing of guests’ personal data is carried out in compliance with the General Data Protection Regulation (GDPR) and applicable Czech legislation. The Accommodation Provider is statutorily required to register identification and residency data in accordance with the Act on the Residence of Foreign Nationals in the Czech Republic and the Local Fees Act. Personal data is securely stored for the period stipulated by law and is never utilized for marketing purposes.

2. Check-In & Check-Out Procedures

• Upon arrival, guests are required to present a valid proof of identity (National ID card or Passport) and complete the registration form. Failure to comply with this requirement entitles the Accommodation Provider to refuse accommodation.
• Check-In Time: Standard check-in is available from 15:00 (3:00 PM) onwards, unless a different time has been agreed upon in writing. The exact arrival time and method of key handover (including the contactless option) must be arranged with the Hotel in advance.
• Check-Out Time: On the day of departure, guests must vacate the room no later than 11:00 AM. Late check-out is subject to availability, requires prior approval from the reception, and may be surcharged according to the valid price list.
• Upon check-in, the guest receives a room key (and parking gate key/remote, if
  applicable) along with an electronic entry chip. Guests are obliged to handle these items with due care and prevent loss or damage. In the event of a lost key, the Hotel is entitled to claim full compensation for costs associated with replacing the lock system.
• The number of persons occupying the room must match the number of guests
  registered. Guests are strictly prohibited from subletting or allowing third parties to use the room without prior consent from the Hotel.

3. Safety, Security & Property Protection

• In extraordinary circumstances (e.g., technical or operational issues, or force
  majeure), the Hotel reserves the right to offer alternative accommodation that does not significantly differ from the original confirmed booking.
• Accommodation may be refused to persons suffering from acute infectious diseases that could jeopardize the health of other guests or staff.
• The Hotel is under no obligation to extend a guest’s stay beyond the originally
  booked dates.
• Guests are encouraged to utilize the electronic in-room safes or the valuables
  storage service at the reception desk.
• Hotel rooms are fully equipped according to the Hotel’s category. Guests are not permitted to reconfigure the room layouts, move furniture, or tamper with any equipment. Any damage or costs arising from a breach of this rule must be compensated by the guest and may result in immediate termination of stay. Any damage caused to Hotel property must be reported immediately.
• The guest is fully liable for any damage caused to Hotel property and is required to settle the damages prior to departure, or via invoice if expressly agreed upon by the Accommodation Provider.
• Electrical Appliances: For safety reasons, only low-wattage personal care electrical appliances are permitted in the rooms. The use of personal heating appliances, electric kettles, irons, and similar devices is strictly prohibited unless provided or loaned by the Hotel.
• Supervision of Children: Children under 12 years of age must not be left unattended by adults. Legal guardians or accompanying adults are fully responsible for any damages caused by minors.
• Pets: Accommodation of pets is only possible with prior approval from the Hotel and under conditions set by the establishment. The owner is fully responsible for the pet’s behavior and any damage caused. Repeated disturbance of peace or damage to property by a pet entitles the Hotel to terminate the guest’s stay.
• Wi-Fi Service: Guests may use the Hotel’s wireless internet connection. The Hotel bears no liability for any damage arising from the use of this service.

4. House Rules & Quiet Hours

• Night Quiet Hours: Designated quiet hours are strictly enforced from 22:00 to 07:00 (10:00 PM to 7:00 AM). Violation of quiet hours may result in a contractual fine according to the price list and/or premature termination of the stay.
• Guests are obliged to behave considerately, respect public morals, and comply with legal regulations. Failure to do so entitles the Hotel to terminate the stay immediately.
• When leaving the room, guests must close all windows, lock the door, switch off all electrical appliances, and turn off the water taps.
• Room keys and chips must be returned to the reception desk upon check-out, unless otherwise arranged.
• Room Visitors: Outside visitors are permitted only with prior consent from the reception and under specific conditions (including registration in the guest visitor log).
• Breakfast Service: Breakfast is served daily from 08:00 to 09:30 AM. For early departures, a breakfast box or a kitchenette breakfast can be arranged if requested by 19:00 (7:00 PM) the previous evening.

5. Payment, Liabilities & General Provisions

• The guest is obliged to settle all costs for accommodation and services in accordance with the agreed terms and the valid price list.
• The Hotel is entitled to request advance payments, deposits, a pre-authorization on a credit card, or a refundable security deposit. If the guest refuses to make the payment or provide the deposit, the Hotel reserves the right to cancel the booking.
• Common areas of the Hotel may be monitored by a CCTV camera system in full compliance with applicable privacy laws.
• Vehicle parking is permitted only in designated areas. The Hotel accepts no liability for theft or damage caused to parked vehicles.
• STRICT PROHIBITIONS: Smoking (including e-cigarettes/vapes), using open flames, using or possessing illegal narcotic or psychotropic substances, or carrying weapons, ammunition, and explosives is strictly prohibited throughout the entire Hotel premises. Violation of this policy will result in a contractual fine according to the price list and immediate termination of stay without refund.
• The Hotel accepts no responsibility for items left behind by guests. Returning forgotten items is possible upon mutual agreement and at the guest’s expense.
• Consumer Rights: In accordance with Czech law, consumers have the right to an out-of-court settlement of consumer disputes through the Czech Trade Inspection Authority (Česká obchodní inspekce – ČOI).
• Complaints, feedback, and suggestions should be addressed directly to the Hotel management.

These Accommodation Rules come into effect on January 1, 2026.
